Automatic approval¶
This page explains why some reports carry two ticks ✓✓ right away without anyone having approved them, and which reports always need approval by a person.
Where this is set¶
Automatic approval is not a setting of the app. The administration sets it in the web interface of Rillsoft Integration Server: Administration → Tenants → Edit tenant → Time recording tab, see Edit tenant.
The settings apply to the whole tenant, not to individual people. Your administration knows which of them your tenant uses. Each of the three rules can be switched on and off individually.

Matching the planned time¶
The server compares every reported time with the planned time:
A shift that matches its planned shift is confirmed. This also applies if another shift on the same day differs.
A day whose reported total differs from the planned time by no more than the tolerance is confirmed as well.
Larger differences stay open and need approval.
An example with a tolerance of 60 minutes (an example value, not a default): Harriet Moncrieff is scheduled for 8 hours on Thursday, 08:00 to 12:00 and 13:00 to 17:00. She reports the morning as planned and the afternoon until 19:00, 10 hours in total. The morning matches the plan and shows ✓✓ right away. The afternoon differs by 2 hours and stays open (✓). Self-approval¶
If self-approval is switched on, the server immediately confirms the reports of all people who have both the permission to report time and the permission to approve time — even if they differ from the plan. These reports therefore do not show up in any approval view.
Approval after time-out¶
If a report stays open without a response for the set number of days, the server confirms it. The app then shows the two ticks with the next refresh.
When the app shows the confirmation¶
Matching the planned time and self-approval take effect the moment the report reaches the server. The server returns the result right away, and the app shows the two ticks directly after the transfer, without you having to refresh.
So that automatic approval only covers what you really want to report, the app works carefully:
It only sends shifts you have explicitly reported. Drafts stay on the device.
When you report by swiping, it only sends once the time for Undo has run out. If you tap Undo in time, you have reported nothing and nothing is confirmed.
What is never confirmed automatically¶
Times outside the task period. The app points this out when you create the day (“Date is outside the task period”). You may still report; Rillsoft Integration Server records the difference as a warning. A person has to confirm it.
Remaining effort and note. They always need approval, in the app or on the web.
Drafts, because they never reach the server.
