The path of a report¶
This page explains which stages a reported time goes through, who confirms it and why a shift is locked at some point.
Planned time and reported time¶
Rillsoft Connect keeps two kinds of times separate:
The planned time comes from the planning in Rillsoft Integration Server. The app displays it but never changes it.
The reported time is what you or your team lead report in the app. When you report as planned, the app takes the clock times of the planned time as the reported time. The planned time itself stays unchanged.
In the time recording you see both in one list: if a reported shift covers a planned shift of the same person, the app shows only the reported one. If the two are at different times, they are shown side by side. Nothing is lost; the merging only affects the display.
The stages of a report¶
To the right of each shift, an icon shows where the report currently stands. The day header shows the icon of the shift that is furthest behind.
Icon |
State |
Meaning |
|---|---|---|
Paper plane |
not yet reported |
The shift is planned or was created or changed by you, but not yet reported. Tapping it reports it. |
Clock |
pending |
Reported and saved on the device; the transfer to the server is still pending. It counts in the sync counter. |
one tick ✓ |
transferred |
Arrived at the server and waiting for approval. The time is still open. |
two ticks ✓✓ |
confirmed |
Approved. The shift is locked. |
There is also a special case: if someone has approved a time without network, the app shows it as confirmed right away. The approval itself then still waits in the queue and counts in the sync counter until it is transferred (see Working offline and synchronizing).
Drafts¶
Days you create with the round plus button of the time recording are drafts with a paper plane at first. Only what you explicitly report goes to the server. A draft that is not reported disappears on its own with the next refresh.
Who confirms¶
“transferred” (✓) becomes “confirmed” (✓✓) in one of three ways:
Way |
Who |
When the two ticks appear |
|---|---|---|
Approval in the app |
Someone with the permission to approve time: in the approval view, by swiping a task card to the left, with the turquoise tick in the time recording or on the plan board. |
right away on the device of the approving person; on yours with the next refresh |
Approval on the web |
Supervisors in the web interface of Rillsoft Integration Server, see Time sheet |
with the next refresh |
Automatic approval |
the server itself, if your tenant has switched it on, see Automatic approval |
usually directly after the transfer, without a refresh |
Important
Transferred is not confirmed. When the number on the sync counter disappears, the report has reached the server. It is only confirmed with the two ticks ✓✓.
What “locked” means¶
A confirmed shift is closed:
The plus and minus buttons are inactive, the clock times cannot be tapped, start, end and duration appear gray.
A confirmed day cannot be reported again; the server rejects it.
An approval cannot be withdrawn. That is why, when you approve by swiping, the app first gives you a short time with Undo before it sends.
If a confirmed time has to be corrected, this is only possible through supervisors on the web in Rillsoft Integration Server. As long as a shift is only transferred (✓), you can change it yourself in the app and report it again, see Correct a shift.
Remaining effort and note¶
Remaining effort and note have their own state, in the same icon language: clock (pending), one tick ✓ (transferred), two ticks ✓✓ (confirmed). You see it on the effort card at the top of the time recording.
A person’s remaining effort and note are confirmed together, either on the web or in the app through the separate effort row of the approval view. Automatic approval never confirms them. Even after confirmation, the reported remaining effort stays visible.
