Permissions and what they hide¶
This page explains why colleagues see different icons, buttons and people than you in the same app.
Two things determine what you see¶
Your permissions determine what you are allowed to do: report time, approve time, view documents, view the project plan, enter vacation.
The organization chart determines for whom you are allowed to do it: for yourself and for the people below you in the organization chart.
Both are assigned by the administration in Rillsoft Integration Server, not by the app. See Organization chart and Roles and permissions. The app reads your permissions again with every sync.
What you are not allowed to do, the app hides. A missing icon is therefore not an error.

The palm tree appears as soon as you have one of the four vacation permissions. The plan board icon and the Approval filter appear only once the app knows your permissions, that is, after the first sync.
The server has the last word. Even if the app allows an action, the server can still reject it, for example the cancellation of someone else’s vacation request. The app then shows “Failed” with the reason, see Working offline and synchronizing.
The task card carries its targets¶
Which areas of a task card can be tapped is decided per task:
Card with time recording and documents: the card itself leads to the time recording, the blue column on the right to the document list.
Card with documents only: the whole card is tinted blue, every tap opens the document list. It does not show hours or backlog.
Card without document permission: the right column stays empty and cannot be tapped. Its space stays free so that name, project and date are in the same place on all cards.
The numbers on the card, such as “1 empl.” and the open hours, also refer only to the people you are allowed to see. They say nothing about the full staffing of the task.
Who you report for: the selection when opening¶
When you tap the card, the app checks, without asking, for how many of the people scheduled on the task you are allowed to report:
for exactly one person (usually yourself): the time recording opens directly for this person.
for several people: the time recording opens for all of them together, with a name bar in which everyone is preselected. See Report time for several people.
for nobody: the app shows “No employees you are authorized to record time for.”
So what matters is not how many people work on the task, but for how many of them you are allowed to report according to the organization chart.
Three typical views¶
The images in this help come from three people with different permissions. Their views show how strongly the app adapts. In your company, permissions may be distributed differently.

The team lead’s name bar only shows the people below her in the organization chart, not all people in her department. Because the project lead is above the team lead in the organization chart, he also sees her people.
